Nature of Position: Permanent
  1. Works under the supervision of the Asst Director, Department in charge.
  2. Ensure all goods and services are procured according to organisations' policy, procedures and standard contractual terms.
  3. Responsible for pre and post contract administration.
  4. Ensure compliance with corporate governance when managing the contract administration processes.
  5. Reviews the terms and conditions of the contracts/ proposals submitted by vendors.
  6. Negotiate terms and conditions with vendors together with buyers and users.
  7. Prepares contract documents and letters i.e. contract compilation, issue letters on Liquidated damages, termination of contract, extension of contract, bankers guarantee BG renewal/ extension, vendor warning letters, etc.
  8. Liaise with buyers, users and vendors on any disputes, variations and all contractual matters.
  9. Reports on the performance of vendors.
  10. Support and advice buyers and users on liquidated damages, bankers guarantee (BG) and insurances pertaining to RFPs/ tenders/ Waiver of Competition and contracts.
  11. Monitor contract and BG expiries and trigger buyers and users for necessary follow up action.
  12. Ensure all compilation of contracts are done properly and signed according to financial authorization limits.
  13. Ensure all contracts are filed centrally and managed accordingly.
  14. Work closely with legal to finalise terms and conditions and review standard templates.

Provide contract administrative support to the department.

Perform any task assigned by the Asst Director.

Participates in quality improvement activities.

Degree in Law, Banking and Finance or any other relevant degrees with minimum 6 years relevant working experience

Contract Administration and preferably with some purchasing experience will be advantageous

Possess good interpersonal skills and positive attitude. Self-motivated with high level of professionalism and integrity. 

Good team player and adaptable. Meticulous and detailed.
