Responsibilities
Subscription Payment
  • Subscription for publication renewal
    • Create and send renewal/soon-to-due notices
    • Ensure that invoice reaches to the person in charged (update contact details, if required)
    • Provide quotations for up-selling• For NEW Subscription
    • Ensure client receive their  1st issue of invoice
    • On a rare occasion, if customer does not acknowledge the subscription order, notify Account Manager immediately. 
  • Chase payment:
    • Follow-up calls/emails/faxes/letters to ensure prompt payment
    • Create manual pro-forma invoices if needed (with proper permission)
    • Applicable creating manual SOA, Statement of Account (if required) – usually for fleet/multiple new & renewal)      -
    • Update both PC Sub & CRM on changes or any updates
    • Fill up vendor forms (if required)
    • Control stops (cancellation) of subscriptions
    • Minimized bad debts amount (loss)
    • Control /balance  list and weekly sales growth
    • Prepare stop forecast reports , weekly growth reports
    • Work closely with Account Manager to maintain the number of  customers in respective markets
    • Match all funds to the correct payer (customers’ number)
    • All funds to be updated onto the system (Subs) & excel file (Ads)
    • Weekly reports and monthly reports send to relevant parties in Singapore
    • Provide assistance to Administrator- Credit Control in branch office to facilitate payment and other administrative supports
    • Maintain and analyze aging reports (non-paid active customers)
    • Prepare BALANCE invoice to clients on STOP list with balance amount
    • Salvaging of cancellation of subscriptions (seek assistance from Account Manager if required)
Requirements
  • Excellent oral communication in both English and Chinese/Mandarin with simple understanding of Malay
  • Proficiency in Microsoft Office (excel and word)
  • Past experience in administrative work preferably with an MNC
  • Having excellent telephone manner and able to coordinate
  • Able to work independently as well as in a team with positive attitude
  • Responsible and well organized with the ability to multi task and able to coordinate with internal & external customers.
  • Customer oriented and responsible
  • Must be result-oriented, proactive and self-driven
